TableofContentsCreatingaTableofContentsinWordYouneedtouseheadingsinwordforthetableofcontentstowork.Soasyouaretypingyourdissertation,highlightthetextthatyouwanttouseasaheading,andnexttothefontatthetop,chooseheading1,heading2etc.CreatingatableofcontentsinaMicrosoftWorddocumentisatwo-stepprocess.First,identifythetextthatyouwanttoappearintheTableofContents.Second,tellWordtoinserttheTableofContents.HavingcreatedyourTableofContents,youcanthencustomiseitinseveralways,tosuityourneeds.Step1:IdentifythetextthatyouwanttoappearintheTableofContentsInyourdocument,clickwithinthefirstmajorheadingthatyouwanttoappearintheTableofContents.ApplytheHeading1styletothatparagraph.TheeasiestwaytoapplytheHeading1styleistoclicktheStyleboxontheFormattingtoolbarandchooseHeading1.Inthesameway,applytheHeading1styletoothermajorheadingsinyourdocument.ApplytheHeading2styletosub-headings,Heading3styletosub-sub-headingsetc.Step2:CreatetheTableofContentsClickwhereyouwantyourTableofContentstoappear.InMicrosoftWord2002and2003,chooseInsertReferenceIndexandTables.ClickontheTableofContentstab.(Elsewhereonthispage,thisiscalledtheTableofContentsdialog.)ClickOK.InearlierversionsofWord,chooseInsertIndexandTables.ClickontheTableofContentstab.(Elsewhereonthispage,thisiscalledtheTableofContentsdialog.)ClickOK.Step3:CustomisetheTableofContents(ifyouneedto)OnceyouhaveappliedyourHeadingstyles,chooseViewDocumentMap.YoucannowseeroughlywhatwillbeincludedinyourTableofContents.Right-clickintheDocumentMaptochoosewhichlevelsofheadingtoview.Ifyoudontlikethewayyourheadingslook(e.g.youwantadifferentfont,fontsize,colour,moreorlessspacingbeforeoraftertheheading),dontchooseFormatParagraphorFormatFont.Anddontusethefontsizeorboldbuttonsonthetoolbar.Instead,modifytheHeadingstyle.Tochangethefont,fontsize,colouretcusedtocreatetheTableofContentsitself,youneedtodotwothingsintheTableofContentsdialog.First,makesurethat,intheFormatsbox,youhavechosenFromTemplate.Second,clickModifyandmodifytherelevantTOCstyle.WordusesstyleTOC1forthetoplevelofcontents,TOC2forthenextleveletc.Bydefault,WordshowsthreelevelsinyourTableofContents.Thatis,itputsthetextfromHeading1,Heading2andHeading3intheTableofContents.Ifyouwanttoshowmoreorfewerlevels,intheTableofContentsdialog,changethenumberintheShowlevelsbox.Thereareverygoodreasonsforusingthebuilt-inHeadingstyles.Butifyoureallyneedtouseotherstyles(otherbuilt-instyles,orcustomstyles),youcanputtheminyourTableofContents.IntheTableofContentsdialog,clickOptions,andallocateyourstyle(s)totheappropriatelevel(s).Forsophisticatedcustomisation,youcanedittheswitchesintheTOCfield.HowtocreateatableofcontentsforseveraldocumentsTocreateonetableofcontentsforseveraldocuments,youneedtodothefollowing.oCreateaseparatedocumenttoholdthetableofcontents(thisistheToCdocument).oForease,putallthedocuments,andyourToCdocument,intheonefolder.oInyourToCdocument,useanRD(ReferenceDocument)fieldforeachdocumentthatyouwanttoincludeinyourTableofContents.oToinsertanRDfield,doctrl-F9and,withinthebracketsthatWordgivesyou,typeRDfilename.ForexampleRDChapter1.doc.Youcanttypethecurlybracketsbyhand.Youmustdoctrl-F9.oIfyoucantputallyourfilesinonefolder,youmustusedoublebackslashesanddoublequotes.Forexample,RDC:MyfolderChapter1.doc.oIntheory,youcanuserelativepathnames.Butitneverseemstoworkproperly.oUseanRDfieldforeachdocumentthatyouwanttoreference,inorder.oCreatetheTableofContentsinthisToCdocumentintheusualway.oRememberthepagenumberrule:TheTableofContentswillpickupwhateverpaginationappearsinyourdocument.ItapplieswhenusingRDfieldstocreateaToCformanydocuments.Youmayhavetosetthestartingpagenumbermanuallyineachdocumentifyouwantpaginationtorunconsecutivelythroughyourproject.OthertipsaboutTablesofContentsIfyouhaveWord2003,MicrosofthassomegreatonlinetrainingaboutTablesofContentsavailableforfree.SeeoMicrosoftTOCTrainingCourse:Part1oMicrosoftTOCTrainingCourse:Part2ATableofContentsisafield,notordinarytext.Toseefieldsinyourdocument,doToolsOptionsView.SettheFieldShadingboxtoAlways.ThiswillshowtheToCwithagreybackground.Thegreydoesntprint,butitremindsyouthatthisisafield,notordinarytext.TablesofContentsdontupdateautomaticallywhenyouaddanewheadingtoyourdocument.ThisisbecauseaToCisafield.ToupdateaTableofContents,putyourcursorintheTableofContentsandpressF9toupdateit.Orctrl-aF9toupdateallfieldsinthedocument.WhenyouupdateyourTableofContents,alwayschoosetoupdatetheEntireTable(Figure1).Figure1:Wheneveryouseethisbox,alwayschoosethesecondoptionandupdatetheentiretable.ToensurethatWordalwaysupdatestheTableofContentswhenyouprintyourdocument,doToolsOptionsPrint.TicktheUpdateFieldsbox.Bydefault,allversionsofWordmakethepagenumberinaTableofContentsahyperlinktotheheadingwithinthedocument.ButWord2000,bydefault,makeseachentryintheToCahyperlink.Thiscaneasilydriveyoucrazy.Tosolvetheproblem,selectthewholeoftheTableofContents(selectingafewparagraphseithersideisOK).DoShift-F9.Youllseethefieldcodesexposed,andtheylllooksomethinglikeTOCo1-3hz.Editthesecodestoremovetheh.PressF9againtore-generatetheToCandhidethefieldcodes.(Bytheway,youcanttypeth
