1 What are some means of making business letters attractive?A successful letter depends on the quality of letterheaded paper, the presentation of the letter, the structure of the letter, and the language and tone used.2 What are the standard the optional parts of business letters?The following parts are always included: date, inside address, salutation, body, complimentary close, and signature. There are other elements that may be found in letters, which are: reference, the return/senders address, the attention line, the subject line, enclosure notation, copy notation, and postscript.3 What are the three common layouts when businesspeople compose a business letter?They are the full block form, the indented form, and the mixed form.4 What is open punctuation?Open punctuation means that no full stops or commas are used in the date, names, addresses, salutation, complimentary close, and common abbreviations.5 What are the key issues we should pay attention to when writing email messages/Make sure that the subject line accurately reflects what is in the email. Do not leave the line blank, or the system may treat the message as junk mail. Make sure you send copies only to those people who need copies, rather than copies to everyone in the department. Make sure you check your emails before pressing the send button because emails can be written quickly and sent easily, which often results in poor quality messages being received. Make sure you do not write in capital letters-this is the email equivalent to shouting at people, and can easily irritate. Make sure you use emoticons, abbreviations, and acronyms in a proper way.6 What is the proper approach when you send a good news letter?Most businesses in the world tend to use a direct approach to sending positive or neutral messages. A direct approach means that we begin by stating exactly what the letter is about and is followed up by more information, and perhaps some questions which need clarifying. The letter ends with a goodwill message of some sort.7 What is the common pattern for a writer to follow when writing a complaint letter?A complaint letter may follow the following pattern:An explanation of what is wrong, with background information if necessaryWhat action you require, with a deadlineA warning of what will happen if the action does not take place (if necessary)8 What is the AIDA format for a persuasive letter?AIDA stands for attention, interest, desire, and action. The strategy ensures that your readers can be successfully convinced to do what you ask them to do.First you need to get the readers attention. Next you need to explain the advantages and benefits of your idea or product. Then you may arouse your readers desire for the idea or product. Last you need to encourage your readers to take action.9 When do memo writers use direct opening or indirect opening?When the memo conveys bad news, the writer may use indirect opening. Otherwise direct opening is preferred.10 What must be included in a meeting notice?The time, place, and purposes of the meeting, materials to bring, and a reply card if the meeting is very important.11 What is a meeting agenda?A plan for a meeting, containing a list of topics to be discussed and the estimated amount of time for each topic, and the name of participant responsible for the topic.12 Why are meeting minutes important?They are the official record of a meeting, recording the decision made and processes of making the decisions. They may be used to settle dispute in the future, serving as the evidence in legal proceedings.13 What should we do to product quality meeting minutes?To keep minutes brief and specific; give complete information on the discussion; record motions and solution and the result of the vote. Arrange minutes under headings and subheadings.
