Note to trainers,The videos in this presentation provide closed-caption files as its often easier for viewers of all abilities to follow along. If you wish to remove the closed captions, you must install the Subtitling Add-in for Microsoft PowerPoint (STAMP). You can download the add-in from /projects/stamp-addin/files/Latest%20Version/ Once you install the add-in, to turn the captions off: Locate a slide that contains a video and click the video. The Playback contextual tab appears on the top of the window. If you dont click the video, the Playback tab wont be visible.On the Playback tab, click Hide.Go to the next slide and repeat until youve hidden the captions all slides or for any of the videos with captions you wish to hide. Note that if you save the file, the captions will stay hidden when you re-open the presentation.To show the captions again, repeat steps 1-3, but click Show in step 2. If you click Remove during step 2, the captions will be permanently removed from the video.,Before you begin,If a yellow security bar appears at the top of the screen in PowerPoint, click Enable Editing.,You need PowerPoint 2010 to view this presentation. Drag or point along the progress bar to move forward or go back.,This is an example flowchart that shows the process of developing a training course,The steps are clear, but what is not obvious is that there are three groups of people working together on the course:,A project manager, a reviewing team, and a writing team.,Id like to make it clear who is responsible for each step so to clarify roles and responsibilities,Ill make this into a cross-functional flowchart.,The cross-functional flowchart uses the same shapes as a basic flow chart,but adds a set of boxes that contain the shapes.,These boxes are typically called Swimlanes.,They are also called functional bands because each one shows the functional unit responsible for a step.,But over here in the Shapes window the shape is called Swimlane so Ill stay with that.,Down the side here are headers with the name of each functional unit.,Functional units are the people and groups who are working together.,Theres one Swimlane for each person or group participating in the process.,Each step in the process goes into the lane of the person or group responsible for doing that step.,In this example, the process starts when Jonathan, the Project Manager, defines course requirements,and deliverables and then hands those off to Daves team of Writers who create the first module,and hand it to Judis Team for review and so on.,Ill walk through creating this cross-functional flowchart,and then introduce some ways to make your flowchart more organized and easier to read.,To start, open Visio and click the flowchart category and then double-click Cross-Functional Flowchart.,Choose whether you want to start with the swimlanes vertical or horizontal. Ill choose horizontal.,Horizontal tends to be easier to read on a computer screen,but you might use vertical if you want the diagram to fill a printed page in a report.,The diagram opens with a couple of swimlanes already on the page. For my diagram I need three lanes.,Ill move my pointer to the corner of the swimlane until I see the insert Swimlane shape icons,and then click the blue arrow to add a lane.,Now that I have the lanes I need, Ill change these labels.,First Ill click on the title which selects the entire container and start typing: Course Development Flow.,Then I click in an empty spot on the page to stop editing the text.,Now Ill select the first functional unit lane and type Jonathan, press Enter. Project Manager and click outside.,Click the second lane and type Judis Team Reviewers and click outside.,Click the third lane and type Daves Team Writers.,Finally Ill start adding the steps in the process.,Jonathan the Project Manager starts so Ill drop a Start/End shape in his lane and then type Start.,Process shapes are typically used for general steps. So Ill drop one here and type Define course requirements.,I connect the two by clicking the arrow that points in the direction of the process flow.,Ill add another step and connector both with one click this time,by using the floating toolbar that appears when I pause over a blue arrow.,Ill label this step Define project deliverables. The next step is for Daves team of writers.,So Ill drop a process shape in that lane and type Develop module 1.,To connect that from Jonathan step,I drag a connector from a blue arrow on the Define project deliverable shape and drop it on the middle of the new shape.,I keep adding and connecting shapes until the diagram is done.,The only different thing is when I get to the Pass review question on the decision shape.,The connectors need labels to indicate the correct path based on the answer.,To add a label, click the connector once and start typing.,To move the text, on the Home tab click the text block tool and then drag the text where you want it.,Be sure to go back and select the pointer tool after youre done,or every time you click the page, youll create new text boxes.,In the next video Ill show you how to clarify relationships in a process by using phases and containers.,Phases and containers (2:03),Cross-functional flowchart basics,Point to the bottom of the video to see the video controls. Drag or point along the progress bar to move forward or go back.,When a process is lengthy it can be a good idea to identify phases of the process,as a way to more easily talk about where in a process a step is found or where we are in the process currently.,In the example flowchart Ill identify the development and review phase.,I do that by dropping separators on each side of the section I want to identify, like this.,Vertical bars appear where I drop the separators with the word Phase next to each one.,Plus there is one at the end thats been there since I first started the diagram.,I could have deleted the text, but I wanted to wait and see if it would be useful.,Ill click the first phase and type: Planning.,The second phase Ill call Development and Review, and the last phase Ill call Test and Sign Off.,The phases dont have an explicit function but they help organize the process and make it more understandable.,Another organizational tool is containers which help visually group related steps.,For example, lets say I wanted to make it more obvious that these testing steps belong together.,To add the container Ill select the four shapes and on the Inse
