1、外贸英语函电,任课教师:曲圣宁 Email:,第一讲,一、课程说明:该课程是外贸英语专业和国际贸易专业的核心业务课程之一。其主要内容是通过对实际对外贸易的方方面面的各种信函的学习,来力图掌握实际对外贸易中各种信函的理解和规范写作(包括格式、措辞、表达和习惯用语等)。同时,这一切必须要以对贸易实物中各种规则、术语的一定程度的掌握为基础。,二、教材:外经贸英语函电与谈判,凌华倍、朱佩芬,中国对外经济贸易出版社,第三版 参考教材: 三、学习建议: 1 课前预习单词,了解一定的专业背景。 2 课后定期对所学课文、补充材料进行复习,摘录一定的典型表达,使之成为自己的真实储备。 3 如有不清楚的知识点,尽

3、uent and important. It serves to pass on information, to express ideas or to exchange feelings. Generally speaking, the function of a business letter is to get or to convey business information, to make or to accept an offer, to deal with various businesses.,a) Studying your readers interest, that i

4、s, thinking of what your reader thinks. “Put yourself in your readers shoes” b) Planning what you will write and writing effectively. In order to plan what you write better and write effectively, youd better learn to think and write directly in English and draft an outline before writing. For exampl

5、e, if you are to write a letter claiming for the losses of your ordered computers occurred in transportation, firstly you should draft an outline like this: (1)Goods arrived (2)Losses found on reinspection(复验) (3)Claiming compensation (4)Solution suggested,2、Preparation before writing(写作前的准备工作),C)De

Different kinds of practical English writing has different layout, tone and style, which will be discussed in relevant champers. d) Writing naturally and sincerely,4 Writing principles and Language Features(应用文的写作原则和语言特点),The main function of business

7、English writing is to inform or remind counterpart or public of a certain thing or public affairs and to ask the counterpart or public to act according to the rules stimulated in what is written. Such a writing has its specific language style, that is ,the essential language features which are calle

8、d “7c”: completeness, concreteness, clearness, conciseness, courtesy, consideration and correctness,a) Completeness(完整) 5w1h:who, when, where, what, why, how b) Concreteness(具体) Using specific facts,figures and time can help write concretely and vividly. e.g. today (tomorrow, yesterday)-July 2nd, 20

14、 you. -It is the lowest price we can offer now.,二 The structure and layout of a business English writing,1 Included parts 1)信头(The heading/Letter heading):信头一般包括发信人的姓名、地址、网址、电子信箱、电传号、电话号码等。有些信头上,发信人也注明编号和查号,希望对方复信时能指明原信号码,以便查阅原件。一般公司的信笺都事先印有信头,因此,往往我们打信时只需在日期线(Date Line)上填写日期就够了。在打日期时,我们要注意: 年份应完全写出

15、,不能用(00)来代替(2000) 月份要写英文名称,不能用数字来代替,如(3/9/99)等不能在正是函件中使用。 月份名称可以用缩写,如Aug. Jan. 但May或June或July本身就很短,不再减缩了。 日期最好用基数字,如1,2,3- e.g. June 5, 2000 Sep.5, 2005 另外,如果遇到特殊情况,一时找不到印好信头的信笺,用白纸写信时,须将发信人地址及日期一并写在右上角(写日期的位置上端),如 P.O. Box 1079 Beijing, China Sep. 5, 2005,2)封内行名和地址(Inside Name and Address):是指收信人的行名

16、和地址,一般列在信笺的左上方,在信头之下,沿左页边线写起。封内地址与信封地址写法相同。便利:对于发信人而言:发信时可与信封地址相互对照,避免放入信封时发生错误,也便于准确归档,便于以后查找。对于收信人而言,收信后如信封与信函分离,原信仍能保持完整,便于查阅。封内地址必须将受信人姓名一并写出,如: Mr. C. E. Eckersley c/o Messrs Longmans Green & Company 6&7 Clifford Street London SW7 2DY England 注:在公司名称的前面加c/o(care of),意思是由其转交,说明本信是一封私人信要由本人拆封,总收发

17、不要拆。,如需注明对方经办人,可以在受信人名称住址下面加上Attention或Attention of等字样,如: Richard Thomas & Baldwins Ltd. 151Gower Street London, SC76DY, England Attention Mr. Cave 注:在商业信函中,当对公司进行尊称时,Messrs应用很多。它源自于法文Messieurs 表示客气,时Mr.的复数,一般只用语一人名为姓名的公司。当信是写给公司的某一个人的时候或者是非人称的公司名称时,则不加Messrs。,3)称呼(The Salutation) 是写信人对受信人的一种称呼,其位置是

18、在封内地址的下面空两行,并与之平头。目前外贸书信中一般通用的称呼语有: Dear sirs, Dear Mr. * 等。 注:称呼后面的标点一般只用逗号或者不用,不能用句号或者冒号 4)事由(Caption) 事由写在称呼语下面两行,一般是在信笺中间的位置。事由的使用是使对方的收发人员看了它就可迅速转移给经办的人,不必等待读完信中全部内容就能确定。事由简单扼要,说明商品名称、数量、信用证或合同号码即可。有时前面加上Re:(拉丁文)意思是“关于” 如:P55, P86-,5) 开头语(The Opening Sentences) 开头语没有统一格式,但是在习惯上是用客套语先将受到对方的来信的日期

19、、编号或查号、主题及简单内容加以综合叙述,使对方一目了然这封信使答复哪一封来信的。如果是第一次通信,也可以利用开头语作必要的自我介绍,并表明目的和要求。开头语一般要与信的正文分开,自成一节,文字要简洁明了。目前有些商业信,为避免俗套,常不用这种所谓的开头语。 6)信的正文(The Body of the Letter) 书信的主体,表达发信人的意见。遵循“7C”,7)结尾语(The Closing Sentences) 结尾语一般用来总结本文所写的事项,提示对受信人的要求,如希望来函订货、答复询问或作必要的声明等,另外也附加一些略带客套的与其。它的位置在正文结束之后,另起一段。 结束语的写法:

20、 用分词短语开始的 Awaiting your good news. Looking forward to your early reply. 用完整的句子 We await your good news. We hope to receive your early reply. 关于两种写法,进来用第二种较多。 8)结束语(The Complimentary Close) 结束语在结束函件时的一种客套,它与前面的称呼相呼应。 例如:Yours faithfully Yours truly Yours sincerely- 结束语写在结尾语下隔一行。在欧洲一般把Yours放在前面,但美国把副词

21、放在前面。后面以逗号结束。,9)签名(The Signature) 注:在公司行号名称之前加P.P.(Per Procuration:代理权)说明签名人是正式代表组织不是以个人身份签名。或在公司名称前加For,说明签名人是代表公司或某人签名。重要函件必须由负责人亲笔签名。 10)附件(Enclosure) 如信中有附件时,应在左下脚注明Encl.或Enc.。如附件不止一件,应注明2Encls。 e.g. Encls.:2Invoices 3 Encls. : 1 B/Lading(提单一张) 1 Photo 1 Certificate 11)再启(Postscrips) 信写完以后,如果想起还
