You should match your tone to your purpose in business writing. Try to create a friendly and sincere tone so that your readers will understand that you sincerely wish to be of service.,1. Use Appropriate Tone,Compare: Angry tone: We received our order No. CL 518 yesterday. But when we turned on the machine, it did not work. Because of its bad condition we doubt your companys ability to make high quality products. Better tone: I am writing with reference to order No. CL 518 received yesterday. When we turn on the machine , it did not work. It seems it was not tested before dispatch. Please let us know what you intend to do in this matter.,商务英语写作技巧,2. Create “you” Attitude The business message written from the point of the reader is known as the “you” attitude. Applying “you” attitude rather than “I” attitude can create an appropriate and friendly tone and make your message more effective.,2. Try to use words such as “you”, “Your” to make him/her feel important. 3. Try to visualise things from his /her points of view.,2. Consider the level of diction Generally, there are four levels of diction: learned, popular, colloquial, and slang. Usually, you choose the popular level of diction for your business writing, which is the language used by the mass media: TV, radio and newspaper. Select Appropriate Writing Style Generally there are two writing styles for you to choose: 1.personal writing style It places emphasis on the person receiving message so it is characterized by the use of first and second person pronouns “I, we” you, your” and so on. This style is usually used in letters and memos.,4. Select Appropriate Writing Style,2. impersonal writing style This style is characterised by using: A. the impersonal pronoun “one”.
