Toolbox Meetings SWI 0403 Rev 0 Page 1 of 3 024 April 10Original Issue RevDateDescription of RevisionPreparedCheckedApproved TOOLBOX MEETINGS Document Custodian Manager HSE Document Checked Document Approved TABLE OF CONTENTS 1 0SCOPE AND OBJECTIVES2 2 0PROCEDURE2 2 1 General2 2 2 Frequency of Meetings2 2 3 Structure and Participants2 2 4 Contractors2 2 5 Content and Meeting Topics2 2 5 1 Pre Start Meetings3 2 5 2 Toolbox Meetings3 2 6 Records3 3 0RELATED DOCUMENTS3 Toolbox Meetings SWI 0403 Rev 0 Page 2 of 3 Ensure that you are using the latest version of this document 1 0SCOPE AND OBJECTIVES This procedure describes the format for meetings between employees contractors and supervision at all African Minerals Ltd Early Cash Flow AFL ECF workplaces and projects 2 0PROCEDURE 2 1 General Tool Box and Pre Start Meetings provide a forum to discuss issues of concern relevant to the work in progress the workplace in general and permit an opportunity for open communication between the workforce and supervision on the project 2 2 Frequency of Meetings Toolbox meetings shall be conducted weekly when new works are commenced or as determined by the responsible Business Line or Construction Manager Pre Start Meetings shall be conducted daily or at a shift change prior to work or shift commencing on all project sites 2 3 Structure and Participants All employees including contractors and supervision shall participate in daily Pre Start Meetings All employees including subcontractors and supervision shall participate in Tool Box Meetings with Management representation required at least monthly Construction Managers shall attend all project weekly Toolbox Meetings Supervisors are to conduct the Pre Start and Tool Box meetings with the personnel for which they are directly responsible The structure of these meetings shall be determined and communicated by the responsible Business Line or Construction Manager The size and contractual arrangements of projects shall determine the structure of the meetings on project work sites One single meeting including contractors is regarded as adequate for small projects less than 20 people 2 4 Contractors Subcontractors shall conduct Tool Box Review of identified workplace hazards and control measures Review of recent workplace incidents and control measures General instruction on health safety and hygiene information General work site personnel welfare information Review of new and applicable existing Safe Work Instructions Inclusion of a general applicable Safety and Health Topic General business open for discussion 2 6 Records The Supervisor or his nominee shall record brief details of the meetings including the date who attended and the topics issues discussed allocating responsibility for corrective actions and the date to be implemented The AFL ECF form titled Toolbox or Pre Start Meeting Record shall be used to record all Toolbox Meetings The responsible Business line or Construction Manager is responsible to monitor implementation of corrective actions Tool Box Meeting records shall be issued to the responsible Business Line or Construction Manager and other relevant personnel A copy is to be placed on all notice boards an
