外贸函电与写作_Chapter seven Shipment and Packing Shipping is very important in foreign trade because goods sold by seller have to be the buyer abroad, and the delivery of goods is also made possible by shipping (or transport) services. The business of foreign trade shipping is complicated.When buyer and seller discuss the terms of the contract, terms of shipment are compulsory .Terms of shipment include methods of transport, time for shipment, partial shipment and transshipment .port or place of loading and unloading, shipping documents, etc.Structure of the body1. Letter of extending shipping date ( 1) Reference documents including their number and date; ( 2) The reason for extending shipping date; ( 3) The certain shipping date you want extend to; ( 4) Thanks for their cooperation;2. Shipping Instructions ( 1) Reference documents including their number and date; ( 2) The main content of instruction; ( 3) Thanks for their cooperation;3. Urging for Shipment ( 1) Reference documents including their number and date; ( 2) Ask they attention about the time limit and the consequence of delay ; ( 3) Requirement for the shipment in time; ( 4) Thanks for their cooperation;No matter what kind of terms of payment, especially for FOB, and CFR terms the seller shall ,within a reasonable period of time , send to the buyer by fax/email a “XX days (definite) notice of cargo readiness” in order to leave ample time for the latter to charter a ship or book shipping space and arrange insurance.Provided that the nature of the goods permits and that appropriate stipulations have been laid down in the contract or L/C, the seller may choose to make several partial shipments of a given lot of contracted goods at different times.After making shipment , the seller should , no matter on what trade terms the transaction is concluded , promptly advise the buyer of its completeness in order to help the latter to take out insurance . Such a notice is called Shipping Advice.Shipping Advice.Shipping Advice is often sent by air letter, fax or email. If there is a stipulation regarding the matter in the relevant L/C , the seller should by no means neglect it . He must fulfill his obligations by sending the Shipping Advice in strict accordance with the stipulation, which is used as a negotiating document to be delivered to the bank.Main Contents Of Shipping Advice1) Contract and /or L/C number(s); 2) Name of commodity; 3) Number of packages; 4) Total quantity shipped; 5) Name of the vessel; 6) Sailing date of the vessel(ETD , ETA); 7) Total value of the shipment; 8) Gross weight and net weight.PackingThe ultimate purpose of packing is to keep the transported goods in perfect condition with nothing missing on arrival. Good packing must be able to stand the roughest transportation. Packing can be divided into 1.transport packing (usually known as outer packing) 2.sales packing (usually known as inner packing).Packing must be strikingly marked conventionally, outer packing marks mainly include transport marks, directive marks and warning marks. Transport marks consist of: 1) consignors or consignees code name; 2) number of the contract or the L/C; 3) the port of destination; 4) numbers of the packed goods;all of which can greatly facilitate identification and transportation. e.g. STC NEW YORK 5278Directive marks are eye-catching figures and instructions concerning manner of proper handling, storing, loading and unloading of the packed goods. e.g. USE NO HOOKS THIS SIDE UP HANDLE WITH CARE KEEP DRY DO NOT DROPStructure of bodyGenerally, Letters about packing issues should be concise and clear. In such letters, the seller can describe in detail to the buyer his customary packing of the goods concerned and also indicate clearly that he may accept any required packing at the expense of the buyer.The letter about packing will include following points: ( 1) The relevant documents including their No. and date; ( 2) The description of packing conditions of relevant goods; ( 3) To ensure the packing condition will satisfy the buyer;Specimen Letter of Extending Shipping Date Gentlemen, Your Letter of Credit No.1234 covering your Order No.200 for 300 Bicycles RS-5 has been received. However, we would like to ask you if you could extend the shipping date and the validity in the credit for two weeks respectively. The reason is that a labor conflict has occurred in the factory where we placed your order and the production of your goods has been stopped for the time being. Fortunately there is a prospect that the strike will be over within two weeks. Of course we will do our best to ship your order as soon as the conflict is over. Your cooperation will be appreciated.
