ARC Research Management System Tip SheetThe Research Management System (RMS) was introduced in 2009 to replace the existing GAMS system for electronic submission of grant applications to the ARC.Specifications and General TipsBrowsers supported (must have javascript enabled) Microsoft Internet Explorer 7 (IE7) Firefox 3.0+ If you are having issues with the web browser (particularly issues opening the budget pages), try using an alternate browser, e.g. Mozilla Firefox or Internet Explorer Timeout After 30 minutes of inactivity on RMS, the session will log out(you will receive a warning 15 mins prior) Save frequently to prevent data lossApplication navigation Do not use the browser “Back” button to navigate through RMS as pages will not be refreshed and data may be lost Use the navigation links within RMSAccessing RMSThe ARC RMS information page is available at:.au/applicants/system_default.htmThe login page is available at:.au/RMSExternal/pages/main.jsfObtaining a UsernameExisting GAMS UsersIf you have an existing GAMS account your details have been copied to RMS. Your RMS ID will be your GAMS ID with all letters capitalised. To activate your RMS account you will need to reset your password via the RMS login page. Choose the option Reset Password. Enter your username (RMS ID) and click Request.Once you have entered a valid username (RMS ID) you will receive an email with a link to reset your password.Follow the instructions in the email and you will be able to login. If you are unsure of your existing GAMS account details, please contact Melbourne Research in the first instance so that you do not create a duplicate account. Email .auUsers without an Existing GAMS accountIf you have not previously held a GAMS account, you are required to request a new account via the RMS login page. Choose the option Request New Account. Complete your details and assign your own RMS ID. Click on Request.Your request for a new RMS account is initially submitted to Melbourne Research and then to the ARC for checking for duplicates and eligibility. You will then receive an email with confirmation that you can proceed to login. Updating your DetailsOnce you are able to login to RMS, please check that all of your details are correct and complete under the My Details section. This is very important as these details auto-populate into the application form for the scheme you are applying for. Please ensure that your email address is up to date. Only the ARC can change email addresses. Please email .au to request to change your email address in RMS.Forgotten usernamesCan be retrieved by using the Retrieve User Name link on the RMS login page: .au and providing your email address.Forgotten passwordsCan be retrieved via the Reset Password link on the RMS login page. GAMS Accounts can be reactivated by resetting your password for your GAMS ID. People with GAMS account should not request a new RMS account.Resetting a password will generate an email with a link that will be sent to the last email address used in RMS or GAMS. If this email address is no longer in use or unable to be accessed, email details must be updated by contacting the ARC: .au.Changing your passwordYou are able to change your RMS password at any time. To do this, click the Reset password link on the RMS login page and follow the prompts.You can also change your password once you are logged in to RMS through the RMS User Account Details link on your home page. Please note that password reset requests expire within a couple of hours.Instructions to ApplicantsInstructions to applicants are available for each ARC scheme on the ARC website .au/applicants/instructions.htmThese instructions provide detailed information on how to complete the RMS form for each scheme.The Difference between a RMS ID and a Person IDIt is important to understand that RMS uses both a RMS ID and a Person ID. The RMS ID is the unique identifier used to login to RMS. The Person ID is used to invite researchers to participate on an application. You can access your Person ID by clicking on Personal Details under the My Details section of your RMS homepage. Help Available You can access help with RMS via both Melbourne Research and the ARC.Melbourne ResearchEmail: .auStarting an ApplicationTo create an application you need to select Create Draft Proposal. Select the scheme you are applying for, enter a draft proposal name and click Create Proposal. Your application will automatically be assigned an ID number.The initial creator of the proposal is the owner; however ownership can be transferred to other participants and non-participants. Only the owner of the proposal can request the participation of other investigators and add organisations to the proposal.Participant- refers to any named researcher on an application, i.e. Chief Investigator, Partner Investigator and Fellows.Non-Participant- refers to users who can edit or view an application but are not a named investigator. Draft Proposal Summary Screen:Participants: Enter the Project Leader first. Add using the Person ID which is not their username. Person ID can be found in the top left hand corner of Personal Details in the individuals Profile. The Participant must then accept an email invitation to join the proposal.Organisation Participants: Please ensure the Administering Organisation is listed first.If a Partner Organisation is not listed please contact the ARC at .au. Please include the following organisational details in the email request:- Full legal or Trading Name- Short Name- Email Address (this cannot be the email address of any individual with an RMS account, it must be unique)- Postal Address- Organisation Type Australian Company Industry Body; Australian Non-profit; Australian private company; Commonwealth Government; State or Local Government; Higher Education International; International Company Industry; International Non-Profit; International Government; International Private Company; Other - Australian Organisations: please provide ABN and ANZSIC classification details.Legal/trading name and ABN can be confirmed via the ABN website: .au .Information on ANZSIC codes is available from the ARC web site: .au/applicants/codes.htmPart A Administrative Summary:A1: Autopopulates from the Draft Proposal Summary Screen as whichever Organisation is listed as the Administering Organisation under “Organisation Participants”.A3: Current Organisation and Relevant Organisation should autopopulate. If the Current Organisation does not appear, please ensure that the Position is currently held box is ticked by going to: Personal Details Organisation Details Edit (for currently held position). Relevant Organisation will autopopulate from F11.A4: Autopopulates from the Draft Proposal Summary Screen under Organisation Participants.Part D Project Cost (Budget):All Organisations and Personnel should be added before filling out the budget. If all APDIs have been entered correctly, a line item will appear in the initial budget table for each nominated APDI Fellow. If you have an eligibility exemption number for a Partner Organisation, please enter it in Section G before proceeding with the budget.Note: Part D requires Adobe flash player to be installed. You will be prompted to install adobe flash if you do not have it installed, however you may wish to download the file at: /flashplayer/Please use the Set Other Contributing Organisations link to add columns for Organisations other than the ARC that are contributing funds.Unspecified Funding: Do not enter amounts against Unspecified Funding. These rows must always have “0” against them.Item Description: Please be detailed with this information. The description will autopopulate across all 5 years of the budget and therefore only needs to be entered once. Itemise travel costs into travel, accommodation, per diems etc. and include FTE and salary level for personnel.Budget Error Messages: Prior to removing participants or Organisations from the Summary Page and therefore from the whole proposal enter a “0” for all applicable lines in the budget and then save. Then for Organisations, un-select the specific Organisation under Set Other Organisation Contributors and re-save prior to deleting. This is in order to prevent corruption errors within the budget.Widen the columns of the budget as necessary. If the budget becomes too long and disappears off the bottom of the budget screen, use the button next to each heading to collapse the category.Please ensure that the Partner Organisation table amounts match that of the Partner Organisation columns in the main budget table. If they do not match, the budget will be invalid.Part F - Personnel:This section will be automatically generated for each Person Participant once they have accepted their invitation.F2: This autopopulates from your RMS Account. Please update these details through Contact Details. Please ensure that this address is your relevant University address.F8: Please include either Date of Award or Date of Submission, not both.F9: Autopopulates from your RMS Account. Update this information by using: Classification
