Sign In of JD Edwards This lesson includes three steps. Step 1: You may access JD Edwards EnterpriseOne QA environment through the following Web address (for training purpose only): http:/gzqa570.accl.gcr-intranet.msd:84/jde/E1Menu.maf Step 2: The following screen will appear: Type the User ID assigned to you by the Instructor Type your password in the Password box Click the Sign In button Step 3: A welcome screen will appear. Congratulations! You have successfully sign in JD Edwards EnterpriseOne. 2. Change Your Password The procedure is described below. It includes three steps: Step 1: Scroll down to the bottom of the EnterpriseOne Menu, select My System Options Hyperlink. Step 2: Follow screen will appear, and then click Change Password. Step 3: Enter the old and new user passwords as prompted and click the icon then click the icon to exit to the menu. Note: It is recommended that you exit the system and sign back in so you can validate that the new password is now working. 3. F1 Help Assistance By putting your cursor in the New Password box and pressing the F1 key, the following Item Help screen will appear (you can do this in most fields to obtain Help assistance). Please note, as stated in the below Item Help, the new password must be at least six characters in length. 4. Change the Display Language The procedure is described below. It includes four steps: Step 1: Scroll down to the bottom of the EnterpriseOne Menu, select My System Options hyperlink. Step 2: Follow screen will appear, and then click User Profile Revision. Step 3: Follow screen will appear, In the language field, select your preference display language from the predefine UDC (User Define Code). Blank - Domestic Language (English) CS - Chinese Simplified CT - Chinese Traditional Note: Some fields for Chinese data input will be only available under the Chinese circumstance. Step 4: Click and again in the User Profile Revision screen. The new selected display language will take effective in your next sign in, 5. Sign Out of JD Edwards Never use the red X in the upper right corner! Always use the white Sign Out link. When you are in JDE applications (i.e. inquiry, report screens, etc.), always use the or icons to exit to the Welcome Screen and then use the white Sign Out link. 6. About EnterpriseOne Menu EnterpriseOne Menu is the first screen that appears on your desktop after signing into EnterpriseOne. This Menu is the foundation for all JD Edwards applications. On the left, you can see all of the high-level menus for each section, such as: CN Manufacturing Management CN Address Book CN Warehouse Management CN Finance CN Planning CN QA Inspection CN Fixed Assets CN Accounts Payable CN Procurement CN Sales Order Management You can click on these menus to see additional menus, reports, and interactive applications under them. 7. Searching for Information One of the primary purposes of an ERP (Enterprise Resource Planning) system is the ability to search for information that has been entered into a database. In your daily business you will search on records to identify customer addresses, to look up vouchers and invoices, and to identify batches for posting, among other inquiries. There are numerous ways to inquire on a record: Navigate using the EnterpriseOne Menu Search using the Query by Example line (QBE) 7.1 How to navigate using the EnterpriseOne Menu The EnterpriseOne Menu will allow you to go into a menu, application, or report. On the left side of the screen you will find a menu tree. By single clicking on the initial Menu (folder), you can access more menus and other objects underneath. By single clicking on the appropriate Menu (folder), those additional choices appear. 7.2 How to search using a header record Once you click on the EnterpriseOne Menu and enter any application, a Work With screen appears. A Work With screen, such as Add/Maintain OP - Work With Order Headers, uses a Find / Browse screen. On a Find / Browse screen, you can click icon and ALL records stored in the database will (in connection with this application) appear. Note: Next 50 records can be displayed by clicking on the right arrow next to “Records 1- 50”. When the right arrow disappears you know all records are displayed. Or you can click on the “Go to end” Icon to display all the records in one time. The below example has only accessed 81 records. Note: Be careful. If the database contains too much information, the query will take a long time to display the results. When the right arrow and “Go to end” icon disappear you know all records are displayed. You can narrow your search by populating any of the white fields in the header portion of the screen with valid values. For example, if you enter information in the Supplier field and click the icon, only those records in the database for that supplier will appear. It is important to remember that if you enter information in more than one field, the system looks for records in the database that matches ALL of the criteria. So, if you are performing multiple searches, it is necessary to blank out all search fields first before conducting another search. 7.3 How to search using the Query by Example line (QBE) The Query by Example line (QBE) is the single row that appears above the titles of the columns in the grid. The purpose of the QBE is for you to enter specific values so that you can retrieve certain types of records from the database. Narrowing your search improves system efficiency by eliminating the need to retrieve all records from the database. To query by example, simply click in the white box above the desired title on the grid. A visual assist appears. You can use the visual assist to select an appropriate valid value. If you already know the value, and do not need the visual assist, you can type that value directly into the QBE line. Next, click the icon. The system will retrieve only those records that are equal to the value or values you have entered into the QBE line. You can enter values for multiple fields in the QBE line. In addition, you can use certain operands, such as the greater than or less than signs. If you are performing multiple searches, be sure to clear out the previous search criteria before entering in the new search criteria. 8. Different types of screens When you are using EnterpriseOne, you can access different screens that will allow you to perform different functions. EnterpriseOne contains the following types of screens: Find / Browse Search / Select Header Detail / Headerless Detail Fix / Inspect Parent / Child In addition, EnterpriseOne contains screens that will appear depending on the event that triggers it, such as: A Message Box A Warning Message (Soft Error) An Error Message (Hard Error) A Calendar A Calculator A Visual Assist *You may also click F1 in most fields on an EnterpriseOne screen to receive field-level help. Soft Error Soft Error Soft errors are YELLOW in color. If there is an error with a field in the application, this warning will show on the screen after clicking the icon to create the record. The problem field will be in Yellow and there will be a Yellow Yield sign in the top right corner of the screen. If this error appears, correct the error and click . This is a two-step process, the system first wants you to acknowledge the error, correcting it if necessary, then clicking enter again. The system will allow items to be entered with a warning. Red Error HARD ERROR Hard errors are RED in color. The problem field (s) will be in Red and there will be a red stop sign in the top right corner of the screen. If this error appears, the error MUST be corrected to continue. You can click on the error reported to view the details. 9. User Defined Codes and Category Codes User defined codes and category codes are used in EnterpriseOne to group similar pieces of information and are instrumental when you search for records or write reports. Simply defined, they are a list of values with descriptions, as demonstrated in the following screen: Type of screen About the screen Find / Browse Typically the first screen that you access from the EnterpriseOne Menu Typically starts with the words Work With, such as Work With Order Headers You can search for information using the Query by Example line (QBE) You cannot add or change information from this screen. (The or icon takes you into another screen.) Search / Select Allows you to find a value and to select it for use in an application Visual Assist screens and User Defined Codes (UDCs) are examples of Search and Select screens. Header Detail Allows you to add or change information in the header part of the screen as well as the grid (or detail) part of the screen The reason that the screen is divided into two sections is because the fields relate to different business views (and ultimately, different tables). Headerless Detail Allows you to add or change information only in the grid (or detail) part of the screen. You can view information in the header part of the screen, but since the fields are grayed out, you cannot change this information. Fix / Inspect Allows you to view, add, and/or change information. Parent / Child Shows the relationship between parent and child records, such as a supervisor and all of his/her subordinates. Message Box Reveals information about processing applications or reports in EnterpriseOne. Error Message Reveals information about an application, report, or command that did not process correctly. CalendarReveals an online calendar CalculatorReveals an online calculator Visual Assist Reveals a screen that helps you complete a particular field. For example, on the Search Type field, the visual assists provides you with a list of valid values, such as E (employee) or C (customer), that you can select and use before advancing to the next field. The only difference between a UDC and a category code is that JD Edwards has already defined the UDC fields and values for you. You can change the values if you wish. With category codes, the Phoenix team has defined the fields and values, as appropriate. Who defines use?Who defines values? UDCJD EdwardsJD Edwards / Company Category CodeYouCompany 9.1 User Defined Codes (UDCs) Fields, such as Search Type, Document Type, and Account Number, are examples of UDCs. How do you use UDCs? An example would be if you are inquiring on supplier address book records only, you can enter a value of V (Supplier Procurement) in the Search Type field, click the icon, and only records that have a search type of V will appear on your screen. 9.2 Category Codes Fields, such as Category Code 06 and Category Code 07, are examples of category codes. How do you use category codes? You must define the field and values first. For example, you could make Category Code 07 equal to Origin of Manufacturer. You query on the field in the same way as a UDC. Many applications contain approximately ten to thirty category codes that you can define as you wish. 10. Working with the Grid The grid is the detailed area on certain types of EnterpriseOne screens. When you are querying on a list of records (typically when you click the icon), the records are visible in the grid portion of the screen. There are many ways that you can view and rearrange the data listed in the grid. FunctionPurpose Grid To perform such functions as printing the grid, sequencing the information on the grid, checking for attachments to the grid, maximizing the grid so that it covers the entire screen, restoring the grid to its original size, and zooming into the grid. CellTo access cell functions ExportTo export grid information to Microsoft Word or Excel ImportTo import information into the grid from Microsoft Excel. This option is accessed through the Tools option at the top of the screen. Customize GridTo create a new format (tab), rename a format, or remove a format Right Arrow Icon Or the “Go to end” icon Often, you will see a right arrow icon when navigating through EnterpriseOne grid records. This icon indicates that there are additional records located in the grid that may be retrieved. By clicking this icon continually, additional records will be displayed in the grid. Depending upon the number of records contained in the grid, this icon may need to be clicked numerous times in order to scroll further down the grid and retrieve additional records. Or you could click on the “Go to end” icon to display all the records one time. 10.1 Accessing the grid features 10.1.1 How to access and use the Grid features When you click the right mouse button, a variety of options appear. Simply focus your cursor on the option you would like to perform and click your left mouse button once. Alternately, select the tools menu for additional options. Grid options are available by single clicking the Tools menu and selecting the appropriate option from the drop-down menu. Grid PrintUse this option to send a screen print to a printer on your network. Right click in the grid area and select print from the menu. Check for Attachments To identify whether any attachments are connected to your grid and if so, to view those attachments. This option is accessed by single clicking on the icon in the upper-left corner of the grid. The attachments are not shown until this is clicked. Maximize / Restore To maximize the grid so that it covers the entire screen. Sometimes, this is an easier way to view numerous records at the same time. When you want to return the grid from the maximized format to its original format, just click on Restore. This option is accessed by single clicking on the icon in the upper-right corner of the grid. 10.1.2 How to export information On occasion, it is necessary to send information from EnterpriseOne into another software program such as: Microsoft Word Microsoft Excel To export to Excel or Word: 1.Single click on the Tools icon. 2.When the Tools menu drop down appears select the Export Grid Data option and the Export Assistant screen will appear. Or you can simply click on the icon on the up right corner of the grid aera, and then an Export Assistant Screen also will appear. 3.Choose the software or format youd like to export to from the Export Options. You could Export to Excel in a new workbook Export to Excel in an exiting workbook Note: If you choose an Existing Workbook, the file path for the workbook must be specified and can be located by clicking the Browse button. Additionally, you will need to specify the name of the tab to export to and the cell address to start exporting from. Export to word Note: If you choose to export to Word, you could select appropriate starting and Ending cells or export all by default, and then icon should be clicked. This will result in an export to a blank Word document. Export to Comma separated Values (CSV) Note: If you choose to export to CSV file, you need to choose the File Character Encoding from the drop down menu. 4.You could define the cell range by selecting the Starting Cell and Ending Cell. The Define Cell Range is default in “Export All” Clear out the check box near to Export All. Using your mouse, single click on the cell representing the beginning range of the values you wish to export. Your beginning selection will become highlighted in dark blue. Using your mouse, single click on the cell representing the ending range of the values you wish to export. Your ending selection will become highlighted in dark green. The area inside of the two selections represents the range to be exported. The process can be reset at any point by clicking the Reset Selection button on the right hand side of the Define Cell Range area in the event an incorrect cell was chosen. 5.Choose to Export to a New (or Existing) Workbook. 6.When the process is complete, click the icon nears the top of the screen. 7.The selection is exported from JD Edwards to Excel in this sample. 10.1.3 How to import information On occasions, it is necessary to import information from another software program, such as Microsoft Excel, into EnterpriseOne.
