FOR THE CONFERENCE 1 0 Introduction This report is arrangement for the conference of the British headquarters of a large European manufacturing company Five colleagues have been given the task of planning and organized a conference for the company s most senior British managers together with their French counterparts who are based in Paris The company asked service managers to prepare the conference Costs of the transportations hotels traveling and eating places were investigated Finally holding a meeting in Beijing was decided 2 0 Procedures In order to write a report the following works are prepared 1 surfing the Internet wasto find the discount prices of the airplanes 2 Also asking the travel agencies about whether the company could group purchase were consulted 3 What s more the times of airplane were clearly asked for 4 In addition the prices of the private car hired car were investigated Hired car were able to accommodate more people Hired car was chosen for managers journey 5 Designated managers may hire a car at a cost to the company of no more than 50 per day for the first 4 days or 300 for a period of one week All of those tasks were in order to make the meeting successfully 3 0 Finding 3 1 Date Because considering the coming of the Christmas the meeting cannot be held so early And from 9th January the company will cooperate with other companies to develop new project So there is no time to open a conference The managers will have more time to 4 attend a conference on 5th So the meeting will start at 5th January in Beijing Sightseeing will be on the Saturday 3 2 Location The next project partner of the company is from china In order to carry out the project more fluently managers are advance to the understanding of Chinese culture is beneficial to work Considering the schedule of the flight the flight to Beijing City Shanghai City and Guangzhou City are compared Finally the Beijing City is decided to hold a conference since there is 20 discount 3 3 Hotel Compared different hotels qualities and prices booking room in Jingjiang Star hotel was decided Jingjiang Star hotel Bohaoruiting hotel and Xinghuawan hotel were compared Bohaoruiting hotel is expensive Eating breakfast in the hotel must have extra money Xinghuawan hotel has no conference room Finally Jingjang Star hotel was the last choice Jingjiang Star hotel is located around the center of the Olympic Games Bird s nest Hydraulic method and the National Swimming Center are in the neighborhood The area has convenient transportation The hotel is fabulous and equipped with advanced standard rooms business room and deluxe room In addition the hotel has small or medium sized luxury conference rooms The managers and counterparts are not necessary to choose another place to hold a conference 3 4 Traveling and costs of traveling 3 4 1Costs of traveling All members will arrive in Beijing by plane The British managers take the direct flight No CA1241 from London airport to Beijing airport Managers will arrived at 10 40 in airport the price is 400 dollars per person and they go back by plane too The French 5 counterparts board the plane at 9 30 in airport on HV7115 from Paris airport to Beijing airport The price is 380 dollars per person The flight provides meals Getting off the airplane the managers would take the subway to the Chao Yang district from the airport station It costs 1 dollar per person Then only walking 2 minutes managers can get the place Sightseeing is on the Saturday the hired car is provided in order to be convenient to sightseeing for personnel attending the conference The price of hired car costs per person 30 dollars 3 4 2 Subsistence Three meals are organized two days before Because of the sightseeing on the Saturday the meals are eaten outside The breakfast is organized at the hotel Papa s culture restaurant is ordered for the lunch Jiangnan restaurant is ordered for the dinner The times of meals are 8 00 12 00 and 18 00 respectively Subsistence allowance for company business trips is as follows on Saturday not provided by hotel breakfast 10 lunch 45 supper 35 So the subsistence allowance on After the 6 lunch little time to rest is provided 4 Ming Dynasty Tombs is the next place to sightseeing Traveling along the avenue of the Ming Dynasty Tombs and Stone arch is a good routine It is about 2 hours 5 Travel to Si He Yuan is the special place of sightseeing Si He Yuan is a classical architecture style of residential housing of Beijing citizens dated from the Ming Dynasty The narrow streets between the Si He Yuan are called Hutong s 6 Managers have to take the private car back hotel Because the Olympic Game is in the neighborhood So the Bird s Nest and the Water Cube are convenient to travel The bird s nest axis are always going to the north both sides can see the National Gymnasium Tennis Court Beijing Science and Technology Museum the Olympic Press Center and there are many award winning sculpture The distance to Beijing Olympic Park is about 2 kilometers It is quite large area of the Summer Palace The most terrible thing is there is no place to go and very cold so the people go there should go with the snacks and clothes 7 After supper in the hotel the hired car will take them to the Beijing airport 4 0 Conclusions The meeting will start at 5th January in Beijing Beijing is a good place to hold a conference and travel Jingjiang Star hotel is located around the center of the Olympic Games Whatever the price or location of the hotel is perfect The transportation fees are 821 dollars for British managers 801 dollars for French counterparts Spending in the hotel is about 150 dollars per person for three days Traveling and eating ou
