REQUESTING A DEMO TRAINING INSTANCE JOB AIDRequesting a Demo Training InstanceObjectiveThis job aid will provide instructions on how to request a training instance. You will use this instance for Success Academy Courses. About the Provisioning Accounts and Training InstancesSuccess Academy provides individual Provisioning accounts to all internal employees and partners taking Mastery courses. Due to the large number of students taking Success Academy courses, each Provisioning account will be reassigned after a course has been completed. The training instance is yours to use after the course. If you would like to tie a Provisioning Account to your instance, you must contact Customer Success. Additionally, if you have a provisioning account already assigned, you will still receive a temporary provisioning account to use for training. Do not use your permanent provisioning account. Requesting a Training Instance1. Navigate to /demo-request-employee-partner/ or /index.php?id=2004 2. Fill in the form information. For Company Name, follow these guidelines:CompanyName_FirstNameLastNameInitial_MONYYYY For example John Smith from ACME taking a course in November of 2012 becomes ACME_JohnS_NOV20123. Hit the Submit Button4. You may have the following screens:a. A table with a header Select a version. If so continue onto step 5.b. A table with a header Your Assigned Instances. If so, click on the button to right to Request Additional Instance. Once selected, continue onto step 5.5. Select the demo version from the list. For the Intro to Mastery courses please select the PSTRMASTERGP version. Your instructor may have provided a version in your welcome email. Please make sure to refer to this email. If you are unsure which version to select, contact your instructor.Note: The names of the versions will change over time and might not match this document. The naming convention is product version / code release / RC / RC + version of demo data and configuration. EE is Enterprise and PE is Professional Edition for the product version. So EE1207ECRC4 means Enterprise demo, 1207 code release, 4th version of the demo data and configuration.6. Enter the Provisioning User ID that your instructor has assigned you. Note: If you have not received a Provisioning ID, please contact your instructor. This is required to request your training instance.7. Confirm that you have entered in the Provisioning ID provided by your instructor. Click the Request Demo for Self after you have confirmed providing a Provisioning User ID. If you make a mistake, notify your instructor.8. Click the button Request Demo For Self.9. If you receive the following warning, Sorry, you reached the maximum number of instances, this is because you and/or your company have requested the maximum number of demo instances. You can either trash existing instances or contact your Alliance Manager to request more. To trash an instance, please follow the steps below:a. Note: Trashing an instances may mean that the instance is no longer available for use. b. Navigate to the Your Assigned instances page. If you are unsure of how to get here, close your browser and login following step 1 of this guide.c. Next to your Company ID is a wheel. d. Click this wheel and a drop down appearse. Select Trash.f. Note: It may take time for your instance to be trashed.g. Once completed attempt to request an additional instance.10. If you receive the following warning, Your company is a SuccessFactors partner but you are not on the list of people allowed to request a SuccessFactors demo, this is because you and/or your company have are not on the list to request demo instances. You should contact your Alliance Manager to request this access immediately. Notify your instructor as well.11. If everything is correct, you will receive a thank you message. The instance creation process can take up to 3 hours to complete. Once your training instance is ready, you will should an email to the email account entered in the form. The email will include:a. Link to the Salesdemo4 login pageb. Company IDc. Passwordd. Expiration date Note: It can take 3-5 business days for the instance to have access to JAM, Workforce Analytics and Planning, and Recruiting Search Index. 12. Please email your instructor the Company ID of your demo instance. Verify that your new training instance is available in ProvisioningTo access Provisioning please go to /provisioning_login1. Enter the Username and Password. Username will be the Provisioning User ID that you used to request your instance. Password will be either labor or training (without the quotes).2. After you successfully login to the Provisioning site you should see your training instance in the List of Companies. You do not need to do anything in Provisioning other then verify your instance is in the list. Look for the Company Name you provided. It should follow this format: CompanyName_FirstNameLastNameInitial_MONYYYY. For example John Smith from ACME taking a course in November of 2012 becomes ACME_JohnS_NOV2012You will receive Provisioning training in your courses.Note: Success Academy has a limited group of assigned Provisioning User IDs (Example: Training51). After a student completes a course, Success Academy will reassign the ID to a new student. For this reason you could potentially see a previous students old
