A: The topic for this weeks staff meeting is on the cash flow report. Ive given each of you a confidential copy and related that to our monthly sales targets. B: Why the cash flow report? We havent been given that before. A: No, we havent given it out before because, it is a confidential set of figures and I expect you to keep it that way. B: So, why is it happening this year?A: Because, I believe it is important that you get a better understanding of how the sales patterns fit in with the cash flow. B: I see the projected sales are low in December and July and that corresponds with those negative figures in the cash flow. A: Thats right. The company has a set of fixed expenses each month and our sales projections wont earn enough income to cover them. B: Does that mean the company will have to borrow money?A: Not under normal circumstances because, the cash flow from the high sales months will provide the reserves to tide over the lean periods. B: So, what does this mean for us? These figures are only estimates, arent they?A: Yes, theyre only estimates based on the annual budget figures. What it means for us is, if we can exceed our sales targets, particularly during the lean months, it will be a very good year for the company. Every company has a number of fixed expenses to be paid regularly in addition to extraordinary expenses that occur during a financial year. The cash flow analysis provides for these additional expenses according to the projected income as derived from the annual budget, which sets out targets for the companys performance in sales and production. It is a particularly valuable tool when sales are controlled by seasonal factors that produce highs and lows for the incoming cash. The Administration Department is a necessary expense but, its operation needs to be assessed against the allocated budget funds and is, therefore, included in the cash flow. The actual cash flow is compared against the projected cash flow, generally, on a monthly basis and becomes part of a normal monthly reporting. This comparison is vital for identifying any anomalies that may arise in the cash flow. If the actual varies significantly from the expected, it may call for some remedial action whether its a drop in sales or an increase in expenditure.
