姓名首字母缩写也可以用来为信件临时编号,如这封信是由LouiseDunscombe要秘书ShirlyTaylor撰写并打印处理的一封信,那么编号可为:DT/st,可放在日期上方或信件结尾左下方。(2)如信件写给一个群体,但希望某人关注这封信,此时可在封内地址和称呼之间加上经办人这一项。

但称呼依然是针对群体的称呼,如DearSirorMadam。
(3)事由即为信件的主题,一般位于称呼与正文之间,如:

EmailandFaxFormats学习目标熟悉电子邮件的格式及其运用。熟悉传真的格式及其运用。简介随着计算机的广泛应用和现代通讯技术的发展,国际商务联系的方式和方法也在不断演变。过去人们主要以手写书信发送信息。电报(telegram)、电传(telex)和传真(fax)的引入大大提高了我们的通信速度。然后出现了电子邮件(email)和即时信息(instantmessaging)。因特网的普及加快了电子邮件在商务活动中的广泛运用。虽然电报和电传方式在国际商务领域逐渐不再使用,但传真方式依然还有用武之地。第一章中所提及的七大商务英语写作原则(即清晰、简洁、正确、具体、体谅、礼貌以及完整)依然适用于电子商务英语信函和传真的写作。传统的商务英语书信与电子商务英语邮件和传真只是传递信息的方式不同,但彼此之间并不存在本质核心的差异。英文电子邮件的组成部分(ComponentsofEnglishE-mails)英文电子邮件组成部分包括:

主题框的内容应简明地概括信的内容,短的可以是一个单词,长的可以是一个名词性短语,也可以是完整句,但长度一般不超过35个字母。
主题框的内容切忌过于笼统含糊不清,要将邮件主要内容呈现清楚。例如:StaffTraining(笼统)

电子邮件称谓的正式程度取决于正式和非正式情况。虽然相对来说,电子邮件比书信来说要非正式一些。但总的来说和书信的称谓遵循同样的规则。国际商务往来客户之间的电子邮件相对比较正式一些。在此只列举一二,具体可详见第一章中关于信函称呼的内容。如:在不知道收信人姓名的情况下,有以下几种称呼方式:DearSir、DearMadam、DearSir/Madam如果是寄往某公司的信还可用“DearSirs”。但注意不要写成“DearMadame”,Dearmadame为法语,意为“夫人”,多与姓一起用,也不要用“DearMister”和“DearFriend”作称呼语。在知道收信人姓名的情况下,有以下几种称呼方式:DearMrSmith、DearMrsBrown、DearMissJones、DearMsTodd正文(Message)
在书写正文时,把最重要的事情写在正文最前面或者邮件内容较长时写在第一段。为了让收件人阅读邮件比较舒服,我们需要注意邮件正文结构的美感,邮件段落最好控制在两三段之内。
如果一封电子邮件涉及多个信息点,我们可以采用分条目的方法。客套结束语(Complimentaryclose)
和商务英语书信一样,英文电子邮件的客套结束语的使用取决于邮件往来者之间的关系。如:1)非常正式的VeryFormal(例如给政府官员的):Respectfullyyours/Yoursrespectfully/2)正式的Formal(例如客户公司之间):Verytrulyyours/Yoursverytruly/Yourstruly3)不太正式的LessFormal(例如客户):Sincerelyyours/Yourssincerely/Sincerely/Cordiallyyours/Yourscordially/Cordially,4)
非正式的Informal(例如朋友,同事之类):Regards/Warmregards/Withkindestregards/Withmybestregards/Mybest/GivemybesttoMary/Fondly/Thanks/Seeyounextweek!5)信尾客套话(Complimentaryclose)通常也很简明。常常只须一个词,如:’Thanks’,’Best’,’Cheers’,不需要用一般信函中的’Sincerelyyours’或’Bestregards’署名(Signature)

传真的组成部分及其格式(Componentsandformatoffax)传真是通过电话传输扫描的打印材料(文本和图像),通常是连接到打印机或其他输出设备的电话号码。原始文档由传真机扫描,传真机将内容(文本或图像)处理为单个固定图形图像,将其转换为位图,然后以声频音的形式通过电话系统传输。接收方传真机对声频音进行并重建图像,然后打印成纸质副本。
传真的优势在于传输速度(一页信息只需几分钟)。传真有点像复印机,它使邮件传送转换成一个扫描过程,将图像转换成电子脉冲或信号,通过普通电话线传送给任何拥有类似机器的人。传真不仅可以传送书面文字信息,还可以传送图表或图案,从而提高日常业务的效率。
